How To Set Up Text/SMS Notifications

You can set up Email and Text/SMS notifications in Detrack to keep your end customers and internal users updated along the delivery journey. Notifications are triggered whenever there is a change in job events (eg. Pre-job, Heading to, Completed)


Setting up Text/SMS notifications in Detrack is quick and straightforward. Follow these simple steps to have automated Text/SMS alerts up and running in no time:

Text/SMS Notifications Setup

You can choose to send Text/SMS notifications to:

  • End recipient of a delivery/collection job (email addresses in the Phone Number field of a job)

  • Internal users who want to receive a copy of the SMS (Email addresses in Other Fixed Numbers)

1.1 Enable the Phone Number Fields

  1. Navigate to Settings > Job > Fields

  2. Depending on your workflow, enable any / all of the following:

    1. Phone No.

    2. Sender Phone No.

    3. Other Phone Numbers

  3. Click Save when done.


1.2 Connect to your SMS Provider

Detrack supports SMS notifications through third-party providers like Twilio, Vonage (Nexmo), or ClickSend.

  1. Go to Settings > Notifications > Text/SMS Settings.

  2. Choose an SMS provider from the dropdown list

  3. Enter your provider’s required API fields

  4. Click Save to activate the SMS provider.

1.3 Create your SMS Notification Rules

Next, you can determine the rules for when email notifications are sent out based on various job events (eg. Pre-job, Heading to, Completed)

  1. Navigate to Settings > Notifications.

  2. Click Add Notification

  3. In the Trigger tab, you can select the various trigger parameters for determining when and how you would like to send out a notification.

Here are the different types of types of parameters you can configure:

Trigger type

Description

Detrack Job Type

Job - This notification template will affect both Delivery and Collection jobs.

Delivery - This notification template will only affect Delivery jobs.

Collection - This notification template will only affect Collection jobs.

Events

This notification template will be triggered when the job is changed to the selected event/s in this field

  1. Info-received - New job is added (initial status can be In Progress or In-Transit)

  2. Scheduled - Tracking widget status changed to Scheduled.

    1. Job status: In Progress

    2. Job assigned to a driver.

    3. Date of job to be of a future date.

  3. Pre-job - Date and time is set 1 – 5 days before job date. Works like an "alarm-clock" to trigger the notification.

  4. Heading to - Driver tap Head To Location on Driver app.

  5. Arrived - Driver tap Arrived At Location on Driver App.

  6. Completed - A job is completed.

  7. Partially Completed - A job is partially completed. Job to have at least 1 rejected item under the Item Details

  8. Failed - A job is not completed.

  9. Job Delayed - The Live ETA time exceeds the provided ETA time.

Group (optional)

This notification template will only be triggered for jobs assigned to a specified Group. Leaving this field blank will result in this notification template being triggered for all jobs, irrespective of the Group selection.

Job type (optional)

This notification template will only be triggered for jobs assigned to a specified Job Type.

Service type (optional)

This notification template will only be triggered for jobs assigned to a specified Service Type.

Only with Note (optional)

This notification template will only be triggered for jobs with a Note

1.4 Define your SMS Recipients

You can choose to send SMS notifications to:

  • End recipient of a delivery/collection job (email addresses in the Phone No. field of a job)

  • Internal users who want to receive a copy of the email (Email addresses in Other Fixed Emails)

Types of phone numbers Steps:

  • Send Text / SMS to

    1. Phone No. - This notification template will take reference from the Phone No. of the job for triggering the notification. (i.e This is typically the recipient’s phone number)

    2. Sender Phone No. - This notification template will take reference from the Sender Phone No. of the job for triggering the notification. (i.e. If you buy flowers for a friend, the notification goes to you instead of your friend)

    3. Other Phone Numbers - This notification template will take reference from the Other Phone Numbers of the job for triggering the notification. (i.e additional numbers that you would like to define on top of the recipient)

  • Send Text / SMS from (Required)

    1. Sender No. or Brand - Takes reference from the Settings > Notification > Text / SMS Settings > Sender No. or Brand as sender in the SMS / Text message.

    2. Driver - Displays the driver's phone number in the SMS / Text message. This takes reference from the Mobile No. field under Vehicle details

Other useful SMS notification rules

  • Time Window Start (Optional) - The Text / SMS will only be sent out in this time range. To be used in conjunction with Time Window End. Functions as a Do Not Disturb Mode.

  • Time Window End (Optional) - The Text / SMS will only be sent out in this time range. To be used in conjunction with Time Window Start. Functions as a Do Not Disturb Mode.

1.5 Customize your SMS Content

You can customize the content in the SMS, and whether to include a tracking link in the SMS

  • Text / SMS Body (Optional) - Message to be sent in the Text / SMS.
    (​Note: The maximum number of characters for a text message is 160. If the resulting message is longer than 160, it will be broken down into several text messages and you will be charged several credits by your SMS provider)

  • Include Tracking Link (Optional) - Includes a tracking link in the Text / SMS body for users to track the job.

1.6 Send a Test SMS Notification

Once you are done with the above configurations, you can send a test email notification to yourself by accessing the Trigger tab and clicking on ‘Save and Send Test Notification’
