How to Use Capacity Utilization Report

This powerful new feature provides real-time visibility into how much of your fleet's capacity is being used, both at a macroscopic fleet-wide level and down to individual drivers and vehicles.

Whether you measure your load by weight, pallets, or cubic meters (CBM), this new dashboard will help you optimize your routes, prevent overloading, and ensure you are getting the most out of every dispatch.

Here is a complete guide on how to set up and use the new Capacity Utilization features.


Step 1: Enable Your Capacity Fields

Before you can start tracking capacity, you need to ensure the relevant measurement fields are enabled in your settings.

  1. Navigate to Settings > Jobs > Fields.

  2. Enable the specific metrics you use for your operations, such as Weight, CBM (Volume), and Pallets.

Step 2: Define Capacity per Vehicle

Because every truck or van in your fleet is different, you can define specific maximum capacities for each individual vehicle. You can track up to three different capacity metrics per vehicle simultaneously.

  1. Go to the Vehicles tab and select a vehicle to edit.

  2. In the Update Vehicle window, scroll down to the Vehicle Capacity section.

  3. Use the dropdowns to assign your metrics (e.g., Pallets, Weight) to Vehicle Capacity 1, 2, and 3.

  4. Enter the maximum limits for each (e.g., 25 Pallets, 100 kgs Weight).

  5. Click Save.

Step 3: Accessing the Reports

You can view your capacity utilization through two different reporting lenses, depending on whether you need live data or historical data:

  • Daily View: Go to Reports > Daily reports > Capacity utilization (beta).

    • Note: This view displays all jobs, including live/active jobs, giving you a real-time snapshot of your daily operations.

  • Monthly/Advanced View: Go to Reports > Capacity utilization report.

    • Note: This view acts as a historical record and will only display jobs with a status of Completed, Failed, or Partially Completed.


Exploring the Capacity Utilization Dashboard

Once you open the report, you will see a comprehensive dashboard broken down into three main sections:

1. Utilization Summary

This top section gives you a bird's-eye view of your entire fleet's utilization based on the jobs assigned for the selected date range.

  • Configure Metrics: Click the Configure metrics button (gear icon) to choose which three metrics you want to display on your primary summary cards.

2. Utilization Trend

This dynamic graph tracks your capacity usage over time. You can toggle between Daily and Weekly views, and filter by specific metrics (like just Pallets or Weight) to identify trends, peak days, or underutilized periods.

3. Vehicle Level Utilization

The bottom table breaks down the data driver by driver. It shows the exact job count and the raw numbers vs. maximum capacity for each metric assigned to their vehicle.

To make it incredibly easy to scan, the percentages are color-coded based on how full the vehicle is:

  • Grey (Low): < 50% capacity utilized

  • Yellow (Medium): 50% - 80% capacity utilized

  • Green (High): 81% - 100% capacity utilized

  • Red (Over Capacity): > 100% capacity utilized

(Note: If you see a caution icon (⚠️) next to a metric in this table, it means that specific capacity metric hasn't been configured for that vehicle yet).


To configure it:

  1. Click the caution icon (⚠️) beside the driver's name.

  2. A prompt will appear. Click Vehicles details.

  3. You'll be redirected to the vehicle configuration page where you can set up the capacity values.
