The Capacity Utilization Report provides real-time visibility into how much of your fleet's capacity is being used, both at a fleet-wide level as well as a individual driver/vehicle level
This feature helps to monitor your capacity utilization so as to prevent overloading as well as to ensure you are getting the most out of every dispatch.
Step 1: Enable Your Capacity Fields
Before you can start tracking the capacity utilized, you need to ensure the relevant capacity metric fields are enabled in your settings.
Navigate to Settings > Jobs > Fields.
Enable the specific capacity metrics you use for your operations, such as Weight, CBM (Volume), and Pallets.
Step 2: Define The Capacity For Each Vehicle
Because every truck or van in your fleet is different, you can define specific maximum capacities for each individual vehicle. You can track up to three different capacity metrics per vehicle simultaneously.
Go to the Vehicles tab and select a vehicle to edit.
In the Update Vehicle window, scroll down to the Vehicle Capacity section.
Use the dropdowns to assign your metrics (e.g., Pallets, Weight) to Vehicle Capacity 1, 2, and 3.
Enter the maximum limits for each (e.g., 25 Pallets, 100 kgs Weight).
Click Save.
Step 3: Accessing the Reports
We have two types of capacity utilization reports, depending on whether you want to look at live data or historical data:
Daily View: This gives a live view of the capacity utilized based on jobs that are assigned to your vehicle
To access this feature, go to Reports > Daily reports > Capacity utilization
Historical View: This give you a historical view of the capacity utilized based on jobs that are completed/failed/partially completed. You can access up to 30days of data and have a breakdown by days/weeks/month.
To access this feature, go to Reports > Capacity utilization report.
Exploring the Capacity Utilization Dashboard
Once you open the report, you will see a comprehensive dashboard broken down into three main sections:
1. Utilization Summary
This top section gives you a bird's-eye view of your entire fleet's utilization based on the jobs assigned for the selected date range.
Configure Metrics: Click the Configure metrics button (gear icon) to choose which three metrics you want to display on your primary summary cards.
2. Utilization Trend
This dynamic graph tracks your capacity usage over time. You can toggle between Daily and Weekly views, and filter by specific metrics (like just Pallets or Weight) to identify trends, peak days, or underutilized periods.
3. Vehicle Level Utilization
The bottom table breaks down the data driver by driver. It shows the exact job count and the raw numbers vs. maximum capacity for each metric assigned to their vehicle.
To make it incredibly easy to scan, the percentages are color-coded based on how full the vehicle is:
Grey (Low): < 50% capacity utilized
Yellow (Medium): 50% - 80% capacity utilized
Green (High): 81% - 100% capacity utilized
Red (Over Capacity): > 100% capacity utilized
4. Troubleshooting
If you see a caution icon (⚠️) next to a metric in this table, it means that specific capacity metric hasn't been configured for that vehicle yet).
Click the caution icon (⚠️) beside the driver's name.
A prompt will appear. Click Vehicles details.
You'll be redirected to the vehicle configuration page where you can set up the capacity values.
