Every business has unique needs in their Proof of Delivery workflow. Detrack gives you control over the type of information your drivers must collect before completing a delivery.

For example, you can make it mandatory for drivers to capture key information such as signatures, recipient names, photos when submitting a POD. This flexibility ensures your drivers capture the right proof while maintaining efficiency in the field.

Understanding Job, Delivery, and Collection Settings

Detrack organizes the settings for Proof-Of-Delivery (POD) into 3 categories:

  1. POD Settings for all Job Types – You can set your POD preferences for both deliveries and collections. If you want the same POD requirements for all the job type, configure them here under Settings > Job > POD.

  2. POD Settings for Delivery Jobs - You can set your POD preferences specifically for delivery jobs. Configure these via Settings > Delivery > POD)

  3. POD Settings for Collection Jobs – You can set your POD preferences specifically for collection jobs. Configure these via Settings > Collection > POD

For example, you might require signatures for only delivery jobs but only photos for collections jobs. In this case, you would configure the Delivery and Collection settings individually rather than using the general Job settings.

1) POD Settings for all job types (POD submission conditions)

Navigate to Settings > Job > POD and look for the POD submission conditions section to configure general requirements that apply to both delivery and collection jobs.

  • Driver must enter payment amount – If a payment amount has been set for the job, the driver must enter the amount collected before POD submission is allowed. If the driver tries to submit without entering the paid amount, a prompt reminding them to enter the payment amount will appear .

  • Driver must enter temperature – Similar to payment amount, the driver needs to enter the temperature of the delivery / collection before POD submission is allowed

  • Enable continuous photo taking – When enabled, drivers will be prompted to take another photo immediately after capturing a photo proof. This allows drivers to take multiple photos in succession without having to repeatedly access the camera menu, streamlining the photo capture process for jobs that require multiple photo proofs.

  • Driver must submit POD after signature or photo is captured – When enabled, drivers will have to submit the POD immediately after capturing a signature or photo before they can return to the job list.

  • Max no. of photos – This will be the maximum number of photos drivers can capture for a single POD.

  • Max photo resolution – Control the quality of photos captured by drivers. Higher resolution provides better image quality but results in larger file sizes. Default is 900px X 900px.

2) POD Settings for Delivery Jobs or Collection Jobs

Navigate to Settings > Delivery / Collection > POD to configure requirements specific to either delivery or collection jobs.

  • Signature is required – Drivers will have to capture a signature before POD submission if this option is enabled.

  • Name is required – Enabling this will make it compulsory for drivers to enter the recipient's (or sender's for collections) name during POD submission.

  • Photo is required – Some jobs require photos to be taken for their POD. Enabling this option will enforce the driver to take a photo before submitting the POD.

  • Signature or Photo is required – Enabling this option will enforce the drivers to either take a photo or capture a signature before submitting the POD. Either option will satisfy the requirement.

  • Note for captured photo is required – Enabling this will make it compulsory for drivers to add a note for a photo if a photo is taken for submission.

  • Allow drivers to select photo from photo gallery – Enabling this will allow drivers to access and add photos from their phone's photo gallery for POD submission

  • Prompt when driver is too far away from address / location – When enabled, the driver will receive a notification pop-up if they attempt to submit a POD while outside the defined geofence radius. The driver can choose to proceed with the submission or go back to the previous screen.

(You will need to specify a Geofence radius value (in meters) to define how far from the address the driver can be before triggering the notification. For more details on setting up this feature, refer to How To Prompt A Notification In The Driver App When The Driver Is Too Far Away From Address)
