How To Send Text / SMS When A Job Is Delayed

Users can send text / SMS messages to their customers when there is a delay for the job.

This job delay trigger takes reference from the ETA Time and Live ETA of the job.

Note:

  1. The ETA Time is a manually provided value, e.g. 14:30 to the job.

  2. The Live ETA will be generated from the ETA Time and the time difference of the preceding job.

  3. When the Live ETA exceeds the ETA Time of the job, the job delay event will be triggered.

  4. This job-delayed notification will only be triggered once for all of the jobs to prevent spamming the end-user.

Steps

  1. Navigate to Settings > Job > Fields.

  2. Enable ETA Time, Live ETA Phone No. (Optional), Sender Phone No. (Optional) and Other Phone Numbers (Optional) > Save.

  3. Navigate to Settings > Notification.


    Click on Text / SMS settings tab to set up the SMS settings.

  4. Click on the job-delayed to open a Update Notification page

  5. Select the type of job to trigger a job-delayed notification,

    Field Description Job This notification template will affect both Delivery and Collection jobs. Delivery This notification template will only affect Delivery jobs. Collection This notification template will only affect Collection jobs.

  6. Select the Job Delayed event trigger.

  7. GroupOptional
    Leaving it blank will result in this notification template to be applicable to all jobs.

  8. Go to the Text / SMS tab.

  9. For the Send text / SMS to option, select the field containing the mobile number that you wish to notify when the event is triggered.

    There are 4 options for this field.

    - None => Does not take reference from any of the job fields for sending out text / SMS.
    - Phone No. => Takes reference from the Phone No. for sending out the Text / SMS.
    - Sender Phone No. => Takes reference from the Sender Phone No. for sending out the Text / SMS.
    - Other Phone Numbers => Takes reference from the Other Phone Numbers for sending out the Text / SMS.

    Note:
    The Phone No., Sender Phone No. and Other Phone Numbers can be enabled under Settings > Job > Fields.

  10. Other Fixed NumbersOptional
    The notification will always be triggered to entries in this field.
    Typically used to notify internal staff or or 3rd party contractors.

  11. Enter your customized text message in the Text / SMS body field.
    Note: Your SMS service provider will charge you >1 credit per SMS if the the number of characters in your SMS > 160 characters.

  12. Include Widget Tracking Link – Includes a tracking link in the text message after the text body for recipients to track the status of their deliveries.

  13. Click Save when done

Jobs D1, D2, D3 and D4 were created with various ETA Time.

Assuming that the D1 is late by 30 mins, all of the subsequent jobs will have their Live ETA adjusted to 30 mins later, with an email / SMS notification being triggered to D2, D3 and D4 to inform them of the late arrival, as there is a delay in the job (Live ETA is later than ETA Time).

Next, assume that D2 is again late by another 60 mins, jobs D3 and D4 will have their Live ETA adjusted to 11:30 and 12:30 respectively. (+90 mins)

Continuing to job D3, assume that the driver managed to complete the job early, before the Live ETA Time at 11:00, the Live ETA Time of D4 will be corrected to 12:00 (+60 mins).
