How To Use The Scheduling View

Easily dispatch jobs via a google calendar style interface

Written by Darryl Tan

The Scheduling View is a calendar-style interface that lets dispatchers visually plan and manage jobs across drivers on a given work day. This feature is especially useful for appointment-driven operations such as field services, building & construction supplies, medical logistics, facilities management, and similar businesses

Jobs of each driver are represented in a horizontal lane, with each job having a scheduled start time and end time.

  • Jobs appear as time blocks and are color-coded by status (In Progress, Completed, Failed, etc.) for an easy overview of a driver’s progress.

  • Jobs without a scheduled start time & end time appear in the Unscheduled Jobs panel on the left

Prerequisites Before You Start: Enable Start and End Time Fields

Schedule View requires Start Time and End Time job fields to be enabled so that these fields can appear on the job form. Without these, jobs cannot be plotted on the timeline.

  1. Go to Settings > Job > Fields

  2. Enable Start Time

  3. Enable End Time

  4. Click Save

These fields are off by default. Once enabled, they'll appear on the job creation and edit forms, and jobs with both fields populated will appear as blocks on the timeline.

Accessing the Scheduling View

There are two ways to access Schedule View:

  • From Today's Jobs Page - Click the View Schedule button at the top right of the page.

  • From Calendar - Click the View Schedule button at the top right of the calendar page.

Scheduling an Unassigned Job

Method 1: Drag Jobs From The Job List On The Left Panel

The easiest way to schedule jobs is to drag them from the "All Jobs" list on the left directly onto a driver's timeline.

  • Find the job in the All Jobs panel

  • Drag it onto a driver's lane on the timeline

  • Drop it at the time slot you want (the system will assign a default 1 hour time block based on where you drop it)

  • Input your desired start and end time to confirm the scheduled time for the job

The job will then appear as a block on that driver's timeline.

Method 2: Create A New Job

You can also add a new job from this page by clicking the + Add Delivery button

To make a job appear in Schedule View, you must fill out:

  • D.O. Number

  • Address

  • Date

  • Assign To (select a driver)

  • Start Time

  • End Time

Click Save and the job will appear on the driver's timeline.

Method 3: Bulk importing jobs

You can bulk schedule jobs using the job file import method. When preparing your import file, ensure that you include the columns and populate the values for Start Time and End Time (refer to example values in the screenshot below)

Rescheduling or Editing An Existing Job

Editing of job details

Click on any job in the schedule to open the job details form. You can update various job details such as the assigned driver, any job or items fields or adjust the start and end times.

Changing the start and end time of a job

You can drag a job horizontally on the same driver's timeline to adjust its start time. The start and end time field will be changed accordingly in the job details

Reassigning a Job To A Different Driver

You can also drag jobs vertically across driver lanes in the Scheduling View. The assigned driver, as well as the start and end time, will be changed accordingly

Viewing the Weekly Schedule of a Driver

To see a driver's schedule for the entire week, you can click on the driver's name. You will then be redirected to their weekly schedule view where you can plan ahead and drag jobs across days of the week.
